Export your records first
GST law requires businesses to keep their records for 72 months from the due date of the annual return, and longer while an appeal is pending. That obligation is yours, and deleting your BillKr account does not remove it.
Download the invoices, bills, returns and reports you need before you send a deletion request. Once deletion is complete we cannot restore them.
1.Deleting individual records yourself
You do not need us for day-to-day deletions. Inside BillKr you can delete customers, suppliers, items, purchase bills, credit notes, e-way bills, files and other records yourself. Invoices and estimates can be deleted only while they are still drafts — once an invoice has been sent or voided it is a tax record, and it cannot be deleted.
Deleted records move to the recycle bin first, so a mistake can be undone. Anything in the recycle bin is permanently deleted automatically after 90 days, or straight away if you remove it from the bin yourself. Permanent deletion cannot be reversed, and the audit log keeps an entry recording that the record was deleted.
If you only want to remove particular records, do that in the app rather than deleting your whole account.
2.Requesting full account deletion
Deleting your whole account is not yet something you can do yourself inside BillKr. Our team carries it out manually when you ask. To request it, email us from the address registered on the account:
- keval@kooe.in
- Subject
- Account deletion request
- Include
- Your registered email address, your organisation name, and your GSTIN if you have one
We may need to verify your identity before we act, so that nobody else can delete your books. We will confirm by email once the deletion is complete.
Only an account owner or administrator can request deletion of an entire organisation. If you are a staff member on someone else's account, ask the owner to deactivate your user instead. That ends your access straight away without touching the company's records, but your name and contact details stay on the account's user list. If you want those removed as well, email us at the address above.
3.What we delete
When we action your request we delete or anonymise:
- Your account and sign-in details — name, email address, mobile number and password hash
- Your organisation profile, GSTIN, addresses and billing preferences
- The business records you created — customers, suppliers, items, invoices, estimates, credit notes, purchase bills, payments, e-way bills, ledgers and stock positions
- Files you uploaded — purchase bills, bank statements, registration certificates, agreements and your logo
- Reports and GST summaries generated from those records
- Any access you had granted to a chartered accountant through the CA portal
Deletion happens within retention period after closure of your verified request. Backups are overwritten on our normal backup cycle, so a copy may persist in backup storage for a short period after that before it is cycled out.
4.What we keep, and why
A small amount of data survives deletion because the law requires it. We keep only what is necessary, and we do not use it for any other purpose.
- System logs — 180 days. The CERT-In Directions of 28 April 2022 require us to maintain logs of our ICT systems for a rolling 180 days, retained within Indian jurisdiction. These are technical records of requests to our servers, not your business data.
- Payment and tax records. If you paid for a plan, we must keep the invoice and transaction record for the period required under Indian tax law. Your card and bank details are never held by us — they stay with Razorpay, our payment provider.
- Anything under legal hold. Where we need data to comply with a legal obligation, resolve a dispute or enforce our agreements, we keep it until that ends.
5.Data about your own customers
The customer, supplier and contact records you entered into BillKr are data you control; we hold them on your instructions. When your account is deleted, those records are deleted with it.
If one of your customers asks you to delete their details, you can do that yourself inside BillKr at any time. If they contact us directly, we will normally refer them to you and let you know.
6.Questions about a deletion request
Deletion requests and any complaint about how we handled one go to our Grievance Officer, appointed under the Digital Personal Data Protection Act, 2023 and the Information Technology Act, 2000.
